How to total money in and out in Excel

Lenders ask for total income, accountants for total expenses, and you want to know where the money went. These formulas cover all three.

The steps use the layout of the converter’s CSV: Date in column A, Description in B, Paid in in C, Paid out in D, Balance in E, with headings in row 1.

Step by step

  1. Grand totalsTotal in: =SUM(C:C). Total out: =SUM(D:D). Net: =SUM(C:C)-SUM(D:D).
  2. Check themOpening balance + total in − total out should equal the closing balance on the statement. If not, something is missing.
  3. Totals for a date rangeFor a UK tax year: =SUMIFS(C:C,A:A,">="&DATE(2025,4,6),A:A,"<="&DATE(2026,4,5)). Swap C for D for money out.
  4. Totals for one payeeMoney in from an employer: =SUMIFS(C:C,B:B,"*ACME*"). The asterisks match the name anywhere in the description.
  5. Totals of what you can seeAfter filtering, =SUBTOTAL(9,C:C) totals only the visible rows.
  6. Totals for everything at onceInsert a PivotTable with Description in Rows and Paid in and Paid out in Values to total every payee.

Average monthly income

Lenders often want average monthly income. Total the salary payments over the months provided and divide by the number of months, or build a pivot table by month (see splitting by month) and average the monthly totals.

Watch out for transfers

Money moved between your own accounts, or to savings pots, appears as money in or out but isn’t income or spending. Filter them out before totalling.

Show your working

If the totals are going to a lender or an accountant, keep the formulas visible in the workbook rather than pasting values, and add a note of which statements and dates they cover. Someone checking your figures can then see exactly how each total was reached and tie it back to the statements.

Totals across several accounts

Put each account’s CSV on its own sheet, total each one the same way, and add a summary sheet that refers to those totals. Exclude transfers between the accounts, or they’ll appear as income in one and spending in the other.

Questions people ask

Why does SUM give 0?

The amounts are probably text. The converter writes plain numbers, so this usually happens with files from elsewhere; use Data, Text to Columns, Finish to convert them.

How do I total by month?

Add a Month column with =TEXT(A2,"yyyy-mm") and use a pivot table.

Can I total twelve statements together?

Combine them with “Several statements” first, then total the single CSV.
