Bank statement date formats, and getting them right in CSV files
Statements print dates in half a dozen styles. Spreadsheets and accounting software are fussy about which they accept.
What statements print
| Printed as | Notes |
|---|---|
| 05/03/2026 | The classic UK style: day, month, year. |
| 05 Mar 26 or 5 March 2026 | Month as a word, sometimes with a two-digit year. |
| 5 Mar | No year at all: the year comes from the statement period, which matters in December-to-January statements. |
| 2026-03-05 | ISO style, year first; used by some digital banks. |
| (blank) | Many banks print the date only on the first transaction of each day. |
The converter reads all of these, takes the year from the statement period where it isn’t printed (including statements that run from December into January), fills in dates printed once per day, and writes every date in the CSV as dd/mm/yyyy.
What software expects
- Excel reads dd/mm/yyyy correctly on a computer with UK regional settings. See opening a CSV without breaking dates.
- Xero asks which format the file uses during import; choose dd/mm/yyyy.
- QuickBooks Online asks for the date format when you map columns; choose dd/mm/yyyy.
- FreeAgent and Sage generally expect dd/mm/yyyy for UK businesses.
How to keep dates safe from PDF to software
- Convert the PDFThe converter writes dd/mm/yyyy for every row.
- Import the CSV as downloadedUpload it to accounting software without opening and re-saving it in Excel first.
- Pick dd/mm/yyyy when askedEvery importer that asks about the date format needs the day-first option.
- Spot-check a date after the 12thLook at a transaction on, say, the 25th. If it imported as the right date, the format is right for every row.
Dates that cross the year end
Statements that run from December into January are the classic trap for dates without a year. A transaction printed as “28 Dec” on a statement ending in January belongs to the previous year. The converter works from the statement’s own period, so the CSV is correct; it is worth knowing if you ever type dates in by hand.
Sorting by date
Once dates are real dates in a spreadsheet, sorting works in time order whatever the display format. If sorting puts 01/02 before 31/01 regardless of year, the dates are still text; re-import them as described in our guide to opening a CSV without breaking dates.
Questions people ask
Why does the 13th of the month cause errors?
Software reading dates as month-first can’t make month 13, so it rejects the date or leaves it as text. Earlier dates are silently swapped instead.
Can I get ISO dates (yyyy-mm-dd) instead?
The exports use dd/mm/yyyy, which UK accounting software expects. In Excel, you can reformat the dates to yyyy-mm-dd after importing.
How does the converter know the year for “5 Mar”?
From the statement period printed on the statement, including periods that cross from December into January.
